24th Annual Breakfast: Era of Essential Service

A Moderated Conversation with Michelle Obama

EVENT OVERVIEW: 

On November 1, 2025, the Urban League of Metropolitan Seattle celebrated 95 years of service. To honor this milestone, my team curated three signature events framed as a year-long celebration to highlight the organization’s impact and strengthen community connections—two over the summer and one in the fall.

The finale of the series was planned as the 24th Annual Breakfast: “Era of Essential Service” — A Moderated Conversation with Michelle Obama. While I had served as Creative Director for the last six iterations of the Annual Breakfast, the 2025 event was poised to be the largest in terms of attendance, sponsorship, and keynote prominence. Early bird tickets sold out within 7 minutes of launch, and general admission tickets sold out in just 11 hours.

Unfortunately, due to unforeseen circumstances, the keynote speaker canceled just 10 days before the event, and the breakfast was postponed to a future date.

Despite this, I dedicated 10 months to planning and preparing the event, overseeing creative direction, communications, and production. The work completed during this period demonstrates the scale, strategy, and execution required for a high-profile, large-scale fundraising event, and I am proud to showcase it here.

MY ROLE:

Creative Director

For this event, I served as Creative Director, with responsibility for leading the creative vision, communications strategy, and production coordination.

Due to the high-profile nature of the keynote speaker, much of this work had to be completed on an expedited timeline to meet strict review and approval guidelines. 

 

My core responsibilities included the following:

  • Established the event’s creative vision and aesthetic, defining the overall look and feel, including color palette, typography, backgrounds, and key visual design elements.

  • Designed and produced all digital assets, including the official event invitation, sponsorship packet, live presentation slides, post-event survey, social media advertising assets, and the official event landing webpage.

  • Designed and produced all print materials, including attendee, vendor and event staff badges; all event signage, donation pledge cards, and the custom Black Business Directory.

  • Led all event-related communications, drafting and distributing correspondence to partners, sponsors, and community stakeholders. This included the initial press release, outreach to returning and prospective sponsors, sponsorship follow-ups, event updates, registration reminders, table captain communications, and post-event thank-you messages.

  • Developed and managed the seating plan for an audience of more than 2,800 attendees.

  • Oversaw the production of all event video content, including end-to-end storyboarding, coordination of filming with honorees, and final review and approval of deliverables.

  • Coordinated and managed key event vendors and stakeholders, including two photographers, two videographers, two high-level production teams, honorees, and special guests.

  • Created and managed the official event run of show and detailed on-stage script, ensuring alignment across presenters, production teams, and event flow.

  • Created the comprehensive Marketing Plan and Event Plans.

  • Created "Event Prospectus" to pitch to and secure keynote speaker.

  • Established team roles and delegated responsibilities, ensuring clear ownership and efficient execution across all event functions.

  • Designed, ordered, and distributed branded Urban League staff apparel, including Teal event shirts worn by all staff on the day of the event.

Event Prospectus

This document was created to pitch the 24th Annual Breakfast to Michelle Obama for her participation. It provided context on the event, including expected outcomes, past keynote speakers, and detailed information about the organization. I was notified of the need for the prospectus and completed it within five business days, demonstrating both responsiveness and strategic attention to detail.

Sponsorship Packet

I created the document below, titled “Empowerment In Action,” to solicit corporate sponsorships for the event. It highlighted exclusive sponsorship opportunities across each signature event, designed to drive engagement and encourage continuous annual partnership and engagement.

Event Plan

This event plan was created to capture every detail of the 24th Annual Breakfast from start to finish. It included the run of show, moderator selections, stage design, production scripts, presentation slides, and all other elements scheduled to be displayed or presented on event day.

I completed and submitted the plan to the keynote speaker’s team within 30 days (and 5 months prior to public keynote speaker reveal). They provided no edits or feedback, noting that it was one of the most thorough and detailed event plans they had ever received. This level of professionalism not only reflected positively on my work, but also earned credibility for my boss and the organization, demonstrating our ability to execute an event of this scale flawlessly.

Event Landing Page

This is the official event landing page that I designed and maintained throughout the planning process. It served as the central hub for all event information on the Urban League’s website, ensuring attendees, sponsors, and partners had easy access to up-to-date details.

Donor Pledge Cards

There are the donor pledge cards that I created. Each attendee received one and used them to make donations during the live event.

Seating Chart

Included below is the seating chart and table map that I created for the event. Each table was individually numbered and color-coded to support real-time visual planning and enable the team to efficiently arrange the room as sponsorships were confirmed and tickets were sold.

Email Correspondence

Below are selected excerpts from the email communications strategy I developed to engage event attendees, sponsors, and vendors. These communications played a key role in driving ticket sales, securing vendor participation, and supporting post-event cultivation efforts.

The email strategy consisted of 9 targeted messages and achieved an average open rate of 61%, significantly contributing to overall event performance. The campaign included:

  • Early-bird ticket announcements and follow-up reminders exclusive to organizational subscribers

  • Vendor participation solicitations

  • Keynote speaker announcement

  • General event ' Know Before You Go' updates

  • Essential rules of engagement information for ticket and table purchases

  • Scam and resale ticket notice

  • A SOLD OUT ticket notification 

  • Event postponement notification

"Hype Week" Campaign & Social Media Contest: "Guess Who?!"

One week prior to the event, I designed and launched “Hype Week,” featuring a five-day social media campaign titled Guess Who?! to build excitement and anticipation around the keynote speaker reveal. The campaign invited followers to participate by guessing the keynote speaker through daily interactive content.

I created and scheduled content for each day of the campaign, including three progressive clues and a senior leadership teaser. On the final day, the keynote speaker was officially revealed, and participants who submitted correct guesses were entered into a raffle to win two complimentary event tickets.

OUTCOMES:

Over the course of the week, 69 participants submitted guesses, with those who guessed correctly entered into a raffle to win two complimentary event tickets.

 

In addition to generating strong audience engagement, Guess Who?! also functioned as an informal audience research tool, offering valuable insight into the keynote speakers and themes that most resonate with our community and informing future programming decisions.

Below is the step-and-repeat backdrop design I created for the VIP photo meet-and-greet with the keynote speaker. The design aligned with the event’s overall branding and provided a professional, visually engaging backdrop for photos and media coverage.

Ticket Purchase Flow

Below is the attendee ticket purchase flow that I designed and implemented for the event.

I mapped out each step of the process and developed visual mockups to ensure the experience matched the intended event branding and design. The flow and mockups were submitted for approval to the keynote speaker’s team prior to launch.
